Understanding your collection page

The Collection tab groups your bottles by wine and vintage — one row per label, with the number of bottles you hold on the right. Six bottles of the same wine and vintage are one row, not six.

Three tabs at the top of the page switch the list, each with its bottle count beside it. Tap one, or drag a finger along them.

Tab What it lists
Current The bottles you hold now
Transit Bottles on a delivery you haven’t received yet. Only on collections whose plan includes deliveries
Past Every bottle you have removed, with its reason, date and note

Transit and Past have their own filters, separate from Current’s, but your search text follows you from one tab to the next.

On iPhone, the collection name above the tabs opens the collection switcher, and the + beside it groups every way to add bottles: Search and Scan, a receipt by Take photo, Upload photo or Upload PDF, and, for owners and admins, an import From spreadsheet, From Vivino or From CellarTracker. Viewers don’t get the +.

  • The label thumbnail, with a cube badge if any of those bottles has a 3D position.
  • The wine name, with a subtitle that follows your sort — origin by default, otherwise the sorted value.
  • Coloured pills for grapes, drink window, your tags and anything else Display is set to show.
  • A bottle count on the right — tap it to see that count broken down by bottle size.

Tap the row to open the wine, where the individual bottles live, each with its own code, price, storage and 3D slot. Swipe a row for Remove, Add and Locate without leaving the list.

Search matches more than the name: the producer, the grapes, and the region and subregion — and your own private bottle notes. A note match shows the matching words in the row with a View btl. link to that exact bottle. Country and food pairings are filters rather than search terms, so they will not match as text however you spell them. Two inputs are read specially:

You type Result
2019 Opus One Leading year read as a vintage, the rest as a name
A six-digit bottle code, or a ten-digit barcode That one bottle

Search works alongside active filters, so you can search inside a filtered view.

Four chips sit under the search field: Wine type, Storages, Tags and Drink status. On the Past tab they are Removal, Ratings and Tags. Pick one value and the chip renames itself to it; pick several and it shows a count. Drink status reads the label’s drink window — Ready To Drink spans this year, Drink Soon ends within two years, Hold starts next year or later, Past Prime ended last year or earlier.

Tap Filter for the full Collection Filters panel: cellars, sections and bottle location text, every wine attribute, critic and community scores, prices, sizes, tags, quantity, source, and any custom fields your collection has. A row is greyed out when there is nothing to filter on — no sections built yet, no critic scores on these wines. The Apply button counts matching bottles as you change filters, so you see the effect before you commit.

Sorting is one choice, in the same panel under Sort by: date added, vintage, quantity, purchase price, market price, drink window start or end, or critic score — each offered highest-first and lowest-first. Tap the option you are on to clear it, and turn on Show No Values First to bring the blanks to the top.

Collection → Filter → Sort by → Market Price → Highest → Apply Filters

Tap the circle on a row to select all of that wine’s bottles; the count badge becomes selected / total. Select all takes every bottle in the current filtered view, not just the rows that have loaded — so filter first, then select all.

The action bar offers Remove (which keeps the record, unlike Delete), Print Labels, Download CSV grouped by label or by bottle, Create Wine List, the VinLocate actions, Edit, Tags and Delete. Delete asks you to type the word and the count to confirm. Viewers see the list and the filters but not the actions that change anything.

Your selection stays when you search, filter or open a wine, and the bar says how many selected bottles the list isn’t showing, such as 3 not shown — the actions still include them. After an edit, a tag change, a printout, a CSV or a wine list, the app asks Done with N selected bottle(s)?: tap Deselect all to start fresh, or Keep editing to carry on with the same bottles.

Android has the same list, header, filter panel — also titled Collection Filters — and selection footer. The chip row above the list and bulk tagging aren’t there yet, and past bottles are a separate list rather than a tab.

On app.invintory.com the same rows become a table: Filters opens the same Collection Filters, Change columns takes the place of Display, Sort by sits at the top of the same panel, results are paged rather than scrolled, and clicking a row opens the wine in a side panel. Past bottles has its own page in the left-hand nav.
