How to track wine deliveries
A purchase is one wine order — who you bought it from, when, and what each bottle cost. Bottles you came home with go straight into your collection. Bottles still on their way sit in a delivery inside the purchase, and when the box arrives you mark it delivered — at which point they join your collection in the storage you chose.
Wine on its way is not in your collection yet
Section titled “Wine on its way is not in your collection yet”This is the part worth knowing before you start. Bottles sitting in a pending delivery are deliberately held out of your collection: they are not on the Current list of the Collection tab, and they are not in your bottle count, your market value or your analytics. Marking the delivery delivered is what releases them. So a delivery is a record of what is coming, not an early addition to what you own.
You can still see them. The Transit tab on Collection lists every bottle on the way, with a count beside it.
Find your purchases
Section titled “Find your purchases”The Upcoming Deliveries section on Home shows your next three pending deliveries, soonest first. Tap one to open its purchase, or tap View all purchases for the full list.
iPhone & iPad: Home → Upcoming Deliveries → View all purchasesOn iPhone with the More tab, Purchases is one of its tiles. On iPad, the Deliveries tab opens the same list.
At the top of the list, All purchases and Pending deliveries switch between every order and only those still waiting on a delivery, and Source narrows it to the shops you pick. The bottle count and market value under them follow whatever you have filtered. A purchase marked Draft was saved before it was finished — tap it to carry on.
Log a purchase
Section titled “Log a purchase”- On Home, find Upcoming Deliveries and tap Add New. From the Purchases list, tap + and choose Enter it yourself.
- Choose who it is from under Purchased from. This is the one field you must fill in.
- Tap Add and search for each wine you bought, exactly as you would add any bottle. Then check its vintage, size, storage location, price and quantity.
- Tap Add to collection if the bottles are already with you, or Create delivery if they are still on their way.
iPhone & iPad: Home → Upcoming Deliveries → Add New → Purchased from → Add → Create delivery| Field | What it is |
|---|---|
| Purchased from — required | Who it is coming from — a shop, a winery, a retailer, an auction house. Leave it blank and you get Missing source |
| Purchase date | When you placed the order. It starts on today |
| Transaction Number | The order or invoice number, if you want to find it later |
| Storage location | The cellar or fridge each wine lands in. Every bottle needs one — Apply to all sets the same storage on every wine at once |
| Price per bottle | What each bottle cost. It starts in your own currency — tap the currency to change it for that wine |
| Quantity | How many bottles of that wine |
Close the form before you finish and you can Save as draft or Abandon it. Have the receipt to hand? Tap Scan receipt or invoice at the top of the form and we fill it in for you.
Add the delivery details
Section titled “Add the delivery details”Create delivery opens Add delivery details. Everything on it is optional — if you don’t know it yet, tap Done and come back later.
| Field | What it is |
|---|---|
| Delivery date | When you expect it. From 9am on that day, in your own time zone, you get a reminder that it is arriving |
| Tracking link | The courier’s tracking page, such as ups.com/track. It adds a Track button to the delivery that opens that page. It must be a web address, not just a tracking number |
| Delivery notes | Anything else about the shipment |
Arriving in more than one box? Tap Multiple deliveries instead of Done. Add delivery starts each extra box, and you drag the bottles into the one they travel in.
Inside a purchase
Section titled “Inside a purchase”Opening a purchase shows who it is from, the bottle count and the total, then your Receipts or Invoices, then one section per delivery. Each delivery is headed Arriving and its date, Delivered, or Delivery date unknown, with a Track button when it has a tracking link. Bottles you came home with sit in their own section underneath.
The ⋯ menu at the top covers the whole purchase: Edit purchase details, Add receipt or invoice, Add new delivery, Download receipt files, Mark all pending as delivered and Delete purchase.
Tap a receipt to see every page of it full screen, share the original, or delete it. To add one, choose Take photo, Choose photo or Choose file.
A bottle that came from a purchase shows it on its own page too, under Purchase Details. Tap it to open the order.
Mark it delivered
Section titled “Mark it delivered”Open the purchase and tap Mark as delivered on the delivery that arrived, then confirm. Those bottles are now in the storage you chose and count towards your collection.
If only part of the box came, tap the pencil beside the delivery and choose Mark partially delivered. Tick the bottles that did not arrive and tap Next. The rest are marked delivered, and the missing ones move to a new delivery — add its date and tracking link, then tap Done.
- Mark all pending as delivered in the ⋯ menu receives every delivery in the purchase at once.
- In the Purchases list, select several purchases and tap Mark delivered to receive every pending delivery in them.
- Bottles can be dragged from one delivery to another, or moved with Move to another delivery on the bottle.
Add a wine to a delivery
Section titled “Add a wine to a delivery”To add more wines to an order that is still on its way, open the purchase, tap the pencil beside the delivery and choose Add bottles.
You can also start from the wine. Open it, tap ⋯ → Add to deliveries, and pick the delivery it is coming in. If it isn’t there, New lets you Upload receipt or Create manually to start a new purchase.
Edit or delete
Section titled “Edit or delete”The pencil beside a delivery holds Edit delivery details, Edit storage destination while it is pending, and Delete delivery. The menu beside each bottle holds Edit bottle details, Edit storage destination, Move to another delivery and Delete bottle. To change the shop or the purchase date, use Edit purchase details in the ⋯ menu.
Delete purchase works the same way: its pending bottles and deliveries are deleted, bottles already in your collection are unlinked, and its receipts and invoices are deleted. You type DELETE to confirm. From the Purchases list, Delete only removes purchases that have no deliveries or bottles left.
Export and print
Section titled “Export and print”The download icon at the top of the Purchases list exports your purchases as a CSV for This month, Last month, This year, Last year or All time. Select purchases instead and Export CSV exports just those, and Print barcode labels prints labels for their bottles if your plan includes them.
Android and the web
Section titled “Android and the web”Android has Purchases too — on the home screen and in the More tab — where you can log a purchase, scan a receipt, track a delivery and mark it delivered. Marking accepts the whole delivery rather than letting you pick the bottles that came.
On app.invintory.com, Purchases is an entry in the left-hand nav. Create offers Scan a receipt, Email a receipt and Enter it yourself, and Export CSV exports by timeframe. Click a purchase to open it beside the list, with Mark as delivered on each delivery and Mark partially delivered in its pencil menu.
