How to Import a Large Wine Collection Into InVintory (Fast)

A very large wine cellar, with rows full of wine bottles and large display bottles on the walls and ceiling.

The biggest barrier to getting started with a wine inventory app isn't the app itself, it's the idea of re-entering hundreds of bottles by hand. For collectors with large cellars, that concern is what keeps them on spreadsheets long after the spreadsheet has stopped working.

The good news is that you don't have to enter anything by hand. InVintory supports direct import from CellarTracker, Vivino, and existing spreadsheets, which means most collectors can move their entire collection across in a single step. Here's exactly how.

Which Import Method Is Right for You?

What are the ways to import a wine collection into InVintory?

InVintory offers three import methods depending on where your collection currently lives.

    Direct import from CellarTracker

This is the fastest option for collectors switching from CellarTracker. InVintory connects directly to your CellarTracker account using your username and password, and pulls your collection, pending deliveries, wishlist, personal reviews, and consumption history across in one step. No CSV export required.

    Direct import from Vivino

If your collection is tracked in Vivino, InVintory can import it directly using a similar process.

    CSV spreadsheet import

If your collection lives in a spreadsheet, Numbers file, or another app that can export to CSV, InVintory accepts a formatted CSV file. This is also the right method if you're building your collection data from scratch in a spreadsheet before importing.

For a full walkthrough of the CellarTracker import process specifically, this post on switching from CellarTracker to InVintory covers every step in detail.

How to Import From CellarTracker or Vivino

How do I import my collection directly from CellarTracker or Vivino?

The direct import process is similar for both apps and takes about two minutes.

    On iPhone and iPad

    • Open InVintory and go to your Profile tab, tap the Settings icon, then select your Collection
    • Select CellarTracker or Vivino under Import data
    • Follow the instructions provided to complete your import

    On Web

    • Log into InVintory at app.invintory.com
    • Go to Collection > Import
    • Choose your source app and follow the instructions provided to complete your import

InVintory matches your bottles against its sommelier-curated database of over two million wines automatically. Bottles that don't match automatically are flagged for a quick manual review before the import finalizes.

How to Import From a Spreadsheet

How do I import a wine collection from a CSV file into InVintory?

If your collection is in a spreadsheet, the process requires a small amount of preparation before import.

Step 1: Download InVintory's CSV Template

InVintory provides a CSV template that shows the correct column structure for import. Download it from the import section of the app or web platform before building or reformatting your data. Using the template from the start prevents the most common import errors.

    Step 2: Prepare Your Data

Populate the template with your collection data. The template's fields include:

    • Cellar or fridge name
    • Vintage
    • Producer
    • Wine name
    • Size
    • Quantity
    • Wine type
    • Grapes
    • Removal date
    • Source
    • Purchase price
    • Currency
    • Purchase date
    • Custom bottle location
    • Personal notes

A few things that prevent errors:

    • Use consistent naming for producers and regions across all rows
    • Check for duplicate entries before importing

    Step 3: Import the CSV

Go to the Import data section in the iPhone, iPad, or web app. On iPhone and iPad, go to your Profile tab > Collection > Import data. On web, go to Collection > Import. Under Import data, choose Import spreadsheet, and upload your file. InVintory will validate the data, flag any rows with errors, and give you a chance to review before finalizing.

What to Do After Your Import Is Complete

What should I set up in InVintory after importing my collection?

Once your bottles are in InVintory, a few steps complete the setup and unlock the full experience.

    Map your cellar or fridge

InVintory's VinLocate technology creates a visual map of your exact storage layout so you can find any bottle instantly. If your import included bin or location data from CellarTracker, that data carries across and can be mapped to your physical layout. For a full guide to setting up VinLocate, this post on mapping racks, bins, and fridges covers the process in detail.

Check your Ready to Drink list

InVintory automatically calculates drinking windows for every bottle in your collection. The Ready to Drink section on your home screen shows every bottle currently in its peak window, which is worth checking immediately after a large import since you may find bottles that have been approaching their window without you noticing.

    Talk to Vincent

Once your collection is in InVintory, your AI sommelier has full visibility into every bottle you own. Ask him what to open tonight, what pairs with what you're cooking, or which bottles are approaching their drinking window, all answered from your actual collection data.

    Review your collection's total value

InVintory tracks market prices for every bottle automatically. After a large import, Collection Analytics will show you your total collection value, spend by region, and how your cellar is distributed across grapes, wine types, and more. For more on how collection analytics works, this post on knowing what your wine collection is worth covers the full picture.

Getting Help With a Large Import

What if I need help importing a very large collection?

For collectors on the Elite plan, InVintory's team handles the import process for you. If your collection is large, complex, or spread across multiple spreadsheets in inconsistent formats, the Elite onboarding team will clean and import your data so you don't have to. Contact the team at support@invintory.com to get started.

How long does a collection import take in InVintory?

It depends on which import method you use.

Direct imports from CellarTracker and Vivino are matched automatically and instantly for any wines already in InVintory's database. Wines that aren't yet in the database will appear as placeholders in your collection while a request to add them is processed.

CSV spreadsheet imports are reviewed by InVintory's sommelier team, who match your wines against the database manually. If you're uploading a well-formatted spreadsheet using InVintory's template, this is generally a fast process. If the spreadsheet uses a custom format or includes uncommon wines, it can take longer. InVintory aims to complete spreadsheet imports within one week.

To give your spreadsheet import the best chance of a fast, accurate match, use InVintory's CSV template and include as much detail as possible. The more information you provide, the easier it is for the sommelier team to match everything correctly.
